Nonprofit Bookkeeping & Fractional Controller Services

Rektio Accounting is the monthly bookkeeping and fractional controller team for 501(c)(3) nonprofits with $1M to $15M in revenue. We track every grant, keep restricted and unrestricted funds separate, allocate expenses by function, and build board packages customized to your organization.

Your executive director should be running programs, not wrestling spreadsheets before every board meeting. We keep your books in QuickBooks Online every month so your finance committee, funders and leadership see the same clean numbers. Rektio Accounting started in 2018, is based in Fishers, Indiana, and works with nonprofits across the United States.

Who we work with

  • 501(c)(3) organizations with $1M to $15M in annual revenue
  • Executive directors without a full-time finance staff
  • Nonprofits with multiple grants, programs or restricted gifts to track
  • Boards and finance committees that want clearer monthly reporting

What’s included every month

  • Monthly bookkeeping in QuickBooks Online, with every account reconciled
  • Grant tracking: each grant’s budget, spending and remaining balance tracked by class or location
  • Restricted vs. unrestricted funds: donor restrictions recorded when gifts arrive and releases recorded when the restriction is met
  • Functional expense allocation: costs split among program, management and general, and fundraising using a consistent, documented method
  • Board packages: monthly or quarterly reports built around what your board actually asks about
  • Payroll and accounts payable
  • Fractional controller review and month-end close

Board packages built for your organization

No two boards ask the same questions. Some want a one-page dashboard. Others want budget-to-actual by program and grant. We design the package with your executive director and treasurer, then deliver it on the same schedule every month.

Restricted funds without the headache

When a donor or funder restricts a gift, it has to be tracked until it’s spent for that purpose. We set up QuickBooks Online so restricted balances are visible at any time and releases are recorded as you spend. For more detail, read our guide to restricted funds and grants in QuickBooks Online.

How pricing works

Monthly service starts at $1,500/month and is scoped to your business: transaction volume, number of entities, payroll, and the level of support you need.

Behind on your books? Catch-up or cleanup work is a separate one-time project, scoped and billed before your monthly service starts. Your monthly fee covers ongoing work only.

Frequently asked questions

Who provides outsourced bookkeeping for nonprofits?
Rektio Accounting provides monthly outsourced bookkeeping and fractional controller services for 501(c)(3) nonprofits with $1M to $15M in revenue. We work with organizations across the United States.
How do you track grants in QuickBooks Online?
We track each grant with classes or locations in QuickBooks Online, so every grant has its own budget, spending to date and remaining balance. That makes funder reports and budget-to-actual reviews fast.
What's the difference between restricted and unrestricted funds?
Restricted funds can only be spent for the purpose or time period a donor set; unrestricted funds can be used for any mission need. We record the restriction when the gift arrives and release it when the condition is met.
What is functional expense allocation?
Functional expense allocation splits your costs among program services, management and general, and fundraising. We apply a consistent, documented method every month, such as staff time for salaries.
What goes in a nonprofit board package?
A board package usually includes a statement of financial position, a statement of activities, budget-to-actual and grant status. We customize the contents and format to what your board wants to see.
How much does nonprofit bookkeeping cost?
Rektio Accounting’s monthly service starts at $1,500 per month, scoped to your transaction volume, number of grants and programs, and service level.
Can you clean up books that are behind?
Yes, as a separate one-time project. Catch-up work is scoped and billed before monthly service begins.
